8. WORKPLACE POLICY :
  1. Purpose

This Workplace Policy establishes the framework for how employees of Gakanke Consulting Limited perform their duties under a hybrid work structure. It ensures flexibility, accountability, and productivity while maintaining collaboration, communication, and consistency across all business functions and locations.

 

  1. Scope

This policy applies to all full-time, part-time, and contract employees of Gakanke Consulting Limited across Nigeria, including Support, Operational, Remote, and Field (Sales & Onboarding) staff.

 

  1. Work Arrangement Categories
  2. In-Office (Support and Operational Staff)
  • Employees in this category are required to work on-site at the company’s designated office locations during official working hours (8:00 a.m. – 5:00 p.m., Monday to Friday).
  • Functions include administration, finance, HR operations, IT support, and other roles requiring physical infrastructure or on-site coordination.
  • In-office staff must comply with all workplace health, safety, and conduct policies.
  1. Remote Staff
  • Employees approved to work remotely shall operate from home or other suitable locations with reliable internet access.
  • Remote employees are expected to maintain consistent communication, attend all virtual meetings, and deliver outputs as per agreed timelines.
  • Supervisors must schedule periodic check-ins to review deliverables, provide feedback, and support team cohesion.
  1. Field (Sales & Onboarding Staff)
  • Sales and Onboarding personnel shall operate within assigned territories, including Southern Nigeria, FCT, Kano, Kaduna, and Sokoto States.
  • Staff must adhere to weekly and monthly reporting schedules, maintain client engagement records, and participate in virtual coordination meetings.
  • All travel and field activities must comply with Gakanke’s travel and expense policies.

 

  1. Work Hours and Availability
  • Standard work hours apply across all categories, though flexibility may be granted based on client engagements and time zone considerations.
  • Employees must remain reachable during core business hours and respond promptly to internal and client communications.
  • Overtime must be approved in advance by a line manager.

 

  1. Tools and Communication
  • The company will provide authorized tools such as laptops, communication software, and Learning Management System (LMS) access to ensure efficiency.
  • All staff must use official communication channels (email, Teams, or Slack) for work-related correspondence.
  • Sensitive data must be handled according to Gakanke’s Data Protection and Confidentiality Policy.

 

  1. Performance Monitoring and Accountability
  • Performance will be measured based on output, timeliness, and quality of deliverables, not physical presence.
  • Department heads shall conduct regular evaluations and provide performance feedback.
  • Remote and field staff are required to submit weekly activity and performance reports.

 

  1. Health, Safety, and Wellbeing
  • Gakanke Consulting is committed to maintaining a safe and healthy work environment.
  • Remote employees should create ergonomic and safe home workspaces.
  • Support is available through HR for wellness or mental health concerns.

 

  1. Compliance and Review

All employees must comply with this policy. Any deviation must receive prior written approval from Management.
This policy shall be reviewed annually or as required to align with evolving business needs and workforce trends.

 

9. BRING YOUR OWN DEVICE (BYOD) POLICY :

(Applicable to Remote and Offsite Staff)

  1. Purpose

This policy outlines the requirements and responsibilities for employees of Gakanke Consulting Limited who use personal devices (such as laptops, smartphones, and tablets) for official work. The purpose is to ensure data security, system integrity, and professional use while allowing flexibility for remote and offsite operations.

 

  1. Scope

This policy applies to all employees who work remotely or offsite, including Sales & Onboarding Staff, Consultants, and other team members operating outside the company’s physical offices.

 

  1. Acceptable Devices

Employees may use the following personal devices for work purposes:

  • Laptops and desktop computers meeting company security standards.
  • Smartphones and tablets capable of secure communication and document access.
  • Any other device explicitly approved by the IT Administrator.

Devices must have up-to-date antivirus software, current operating systems, and secure Wi-Fi connectivity.

 

  1. Security Requirements

To protect company data and client confidentiality, the following security standards must be maintained:

  • All devices must be password-protected with strong authentication measures (PIN, fingerprint, or facial recognition).
  • Employees must enable encryption where applicable.
  • Company data must not be stored permanently on personal devices; cloud-based or company-authorized storage systems should be used.
  • Lost or stolen devices must be reported to IT Support within 24 hours.
  • The company reserves the right to remotely wipe corporate data from personal devices in the event of security breaches or termination of employment.

 

  1. Acceptable Use

Personal devices may only be used for tasks directly related to company operations, such as:

  • Accessing official emails, project management tools, and the Learning Management System (LMS).
  • Communicating with clients, learners, and internal teams.
  • Submitting reports, sales updates, or onboarding documentation.

Unauthorized access, sharing of confidential files, or use of devices for non-work-related commercial activities is strictly prohibited.

 

  1. Privacy

While Gakanke Consulting Limited respects employees’ privacy, any device used for company business may be subject to security monitoring to ensure compliance with this policy. Monitoring will not include personal data unrelated to work activities.

 

  1. Reimbursement & Support

The company may reimburse certain data or connectivity costs upon management approval. However, employees are responsible for maintaining their devices’ hardware and software functionality.

 

  1. Non-Compliance

Failure to comply with this policy may result in revocation of BYOD privileges, disciplinary action, or termination of employment, depending on the severity of the violation.

 

  1. Acknowledgement

All employees must read, understand, and sign the BYOD Agreement before using personal devices for official purposes.
